Alliance Personnel Agency is currently working with a client in their search to fill a 7am-4:30pm, Assistant position in Arlington, TX. The pay rate is $18.00 to $25.00 HOURLY. This position is entry-level. No experience is necessary.
Job Description:
Reliable and organized Office Assistant to support daily office operations. The ideal candidate will assist with administrative tasks such as answering phones, managing emails, managing files, and handling correspondence. You will also help with office supply management, data entry, and general office maintenance. The role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. Most importantly is to be EXCEL efficient.
Responsibilities:
- Manage and maintain executives' schedules.
- Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Open, sort, and distribute incoming correspondence, including faxes and email.
- File and retrieve corporate documents, records, and reports.
- Greet visitors and determine whether they should be given access to specific individuals.
- Prepare responses to correspondence containing routine inquiries.
- Make travel arrangements for executives.
- Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
- Attend meetings to record minutes.
- Answer phone calls and direct calls to appropriate parties or take messages.
- Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
- Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
- Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.
- Provide clerical support to other departments.
Education: High School
Experience: 12 months
Physical:
- The ability to sit or stand for extended periods, lift and carry light to moderate weights (up to 25-50 lbs)
- Perform tasks involving repetitive hand movements, such as typing and operating office equipment.
Skills:
- Strong organizational skills
- Proficiency in Excel
- Must be able to send emails, answer phone calls
- Good verbal and written communication skills
- Attention to detail and accuracy
- Time management and multitasking abilities
- Basic knowledge of office equipment (printers, fax machines, etc.)
- Ability to handle confidential information
